Terms of Service

1. Accepting these terms
By creating an EduFlow account or using the service, you agree to these terms on behalf of yourself and the center you represent. If you do not agree, please do not use EduFlow. You confirm that you are at least 18 years old and authorised to enter into this agreement for your center.
2. What EduFlow provides
EduFlow is software delivered over the internet that helps a center manage admissions, students, batches, attendance, fee generation, payment records, receipts, tests, certificates, materials, expenses and reports, and prepare WhatsApp messages to parents.
EduFlow is a record-keeping and communication tool. It is not an accounting, tax, legal or banking service, it does not hold or transfer money, and it does not replace your obligation to keep the statutory records your business requires.
Features described as "Soon" or "in development" on our website are not part of the service you are buying today. Do not subscribe on the expectation that they will be available by a particular date.
3. Your account
- You are responsible for everything done under your login and your staff's logins.
- Keep passwords confidential; tell us immediately if you suspect unauthorised access.
- Give accurate information when you register, and keep it up to date.
- Do not share a single login among more people than your plan's staff-login limit allows.
4. Plans, limits & add-ons

Crossing your student limit does not switch anything off. You continue on the same plan and are billed ₹8 per extra student per month. You may move to the next plan whenever it works out cheaper; we will not move you automatically without telling you.
Extra branches are ₹399 per branch per month. Launch pricing (a lower rate for the first three months) applies to new paid subscriptions and is stated at the time you subscribe.
We may change prices. Existing subscribers will be told at least 30 days before a change applies to them, and you may cancel before it takes effect.
5. Billing, GST & refunds
- All prices are in Indian Rupees and are exclusive of 18% GST, which is charged in addition.
- Paid plans are billed monthly, or annually with a 20% discount, in advance.
- If payment fails, we will contact you. If it stays unpaid, we may suspend the paid features after a reasonable grace period. Your data is not deleted during suspension.
- Fees already paid are non-refundable except where the law requires otherwise, or where we have failed to provide the service and could not put it right. Cancelling stops future charges; it does not refund the current period.
- You can export your data at any time, including after cancelling and before deletion.
6. The Free plan
The Free plan is genuinely free and is not a time-limited trial. It is limited to 15 students and 1 staff login, excludes the features listed as paid on our pricing page, and may carry a small EduFlow mark on generated posters. We may change what the Free plan includes with reasonable notice, and we may suspend a free account that is dormant for a long period — we will email you first and give you a chance to export.
7. Your data
Your data remains yours. You grant us only the permission needed to store, process and display it so the service works, and to back it up.
You are responsible for the accuracy of what you enter and for having the right to hold it — including the consent of parents or guardians for records about children. You must comply with applicable data protection law in relation to the people whose data you enter.
Every table in EduFlow exports to Excel or CSV, so you are never locked in. How we handle personal data is set out in our Privacy Policy, which forms part of these terms.
8. Acceptable use
You must not:
- Use EduFlow for anything unlawful, or to send messages that are unsolicited, abusive or deceptive
- Attempt to access another center's data, or probe, scan or test the security of the service
- Reverse engineer, copy, resell or white-label the software without our written agreement
- Upload malware, or content that infringes someone else's rights
- Place unreasonable load on the service through automated means
We may suspend an account that breaches this section, and will explain why.
9. WhatsApp messages and fee collection
EduFlow prepares reminder messages and opens them in your own WhatsApp for you to send. We do not send on your behalf and we are not responsible for delivery, for WhatsApp's availability, or for any action WhatsApp takes on your number. You must follow WhatsApp's own terms and message only people who expect to hear from you.
Fee collection happens directly between you and the parent — typically through your own UPI QR code, or in cash. EduFlow does not process, hold or transfer any money and is not a payment service. Recording a payment in EduFlow is a bookkeeping entry; confirming that the money actually arrived is your responsibility.
10. Availability & support
We work to keep EduFlow available at all times but do not guarantee uninterrupted service. Maintenance, third-party outages and factors beyond our control can cause downtime. We will give notice of planned maintenance where we reasonably can.
Support is provided by WhatsApp and email during business hours. Priority support is included on the Business plan and above.
11. Intellectual property
EduFlow, its software, design, brand and documentation belong to us. These terms give you a limited, non-exclusive, non-transferable right to use the service while your subscription is active. Nothing here transfers ownership of the software to you. Everything you enter into EduFlow remains yours.
12. Liability
EduFlow is provided on an "as is" basis. To the maximum extent permitted by law, we are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of data beyond our reasonable control.
Where we are found liable, our total liability in any twelve-month period is limited to the amount you actually paid us for the service in that period. Nothing in these terms limits liability that cannot lawfully be limited.
You remain responsible for keeping your own copies of critical records. Exporting to Excel periodically is sensible practice and takes one click.
13. Cancellation & termination
You may cancel at any time from your account. Cancellation takes effect at the end of the current billing period; you keep access until then.
We may terminate or suspend an account for a serious or repeated breach of these terms, or for non-payment after notice. Except in cases of unlawful activity, we will give you a reasonable opportunity to export your data before it is removed.
14. Governing law & contact
These terms are governed by the laws of India, and the courts of Kolkata, West Bengal have exclusive jurisdiction over any dispute. We will always try to resolve a problem directly with you first.
We may update these terms; the "last updated" date will change and, for significant changes, we will notify you inside the application at least 30 days beforehand.
